School Facilities Management
Facilities Management (FM) is a profession that encompasses multiple functions and responsibilities to ensure performance of the building environment by integrating people, infrastructure, process and technology. Its goal is to improve efficiency and efficacy of the school operations targeted to improve all the Facilities Management services (security, janitorial, maintenance, grounds keeping, etc.) used daily to ensure the campus environment is clean, safe and proactively maintained.
PDAcademia has designed a proprietary IPER cycle designed for improving FM services for international schools. Identify, Plan, Execute, Review (IPER) should be the constant improvement process of every international school looking to improve student learning and increase end user satisfaction. IPER is most effective when applied for renovation of existing facilities, applying new technologies and/or effectively maintaining capital intensive infrastructure.
PDacademia’s IPER Consulting Process
STAGE 1: Identification – It begins with an audit which delivers a comprehensive picture of the school operations, collecting data and analytics including operational expenditure and protocols for all services: Engineering (Electrical, Mechanical, Pluming), Spares Inventory & Requisition, Manpower (Job Description, and Roles and Responsibilities), Contractors Scope of Work, Performance Indicators, Contracts, Security, Janitorial cycles and cleaning tools / chemicals, etc.
STAGE 2: Planning – Principles, vision, goal setting, responsibility, and performance measurement need to be aligned within the leadership team and the stakeholders to define the 5+ year plan for the campus (some extend this to a 10+ year). The Audit findings are utilized as baseline for improvements and, as a result, the plan will be fixed, and goals will be set.
STAGE 3: Execution – Once the plan is confirmed, it needs to be communicated to the whole FM team and contractors, review and improvement to the operating procedures and reporting standards can happen at this stage and, subsequently, trainings: Cross-training, basics training, performance monitors, reporting standards, workflows and lessons learnt and shared with the whole team.
STAGE 4: Review – Here all the operation is evaluated against the initial baseline, standard reporting schedule and content on performance and ongoing operational activities.
Facility Management Consulting Services Drive Positive Results
In many cases, workshops and short term consultancy engagements have a very short-term positive impact, and much lower activation ratio. PDAcademia’s management consulting services counter that by guiding the teams along agreed parameters to make change effective and efficient, while preventing them from falling back into old habits.
